This page describes what data I use and how I use it, in keeping with the Personal Information Protection and Electronics Act (PIPEDA) https://www.priv.gc.ca/en/. PIPEDA is a set of rules on how data is collected, stored, and used in Canada.
PIPEDA’s 10 fair information principles form the ground rules for the collection, use and disclosure of personal information, as well as for providing access to personal information. They give individuals control over how their personal information is handled in the private sector.
My name is Jewel Voth, and this is my editing website. As an editor, proofreader and office management consultant, I try to ensure discretion and privacy for my clients and their texts.
If you contact me about editing, proofreading, or writing work, I keep your contact details on my computer and phone, both of which are password-protected and are accessible and used only by me. I will only use the details to communicate with you about ongoing or future work. They include name and email address, and sometimes phone number, website address, postal address, job title, or company or institution name. I will obtain your consent should I identify a new purpose for your information.
While consent to the use of your information is implied for the normal conduct of business between you and JNV Editing & Consulting, I can correct or delete any such data upon request, or clarify what data I have retained. Contact details also appear on payment advice notes that clients may send me. Any printed copies of invoices or contracts are kept securely in my home. I save clients’ names for the purposes of accounting; this data is seen only by me and my accountant. I can anonymize or pseudonymize it upon request. I do not share clients’ contact details or work materials with anyone unless expressly permitted or instructed. Disposal of personal information that does not have a specific purpose or no longer fulfills its intended purpose is disposed of by securely shredding paper files or effectively deleting electronic records.
JNV Editing & Consulting collects only the personal information we need to fulfill a legitimate identified purpose. As your editor, I work mainly with digital files, such as Microsoft Word documents, on a password-protected computer that only I use and have access to. Occasionally, when requested and by mutual agreement, I use online storage systems or word-processing software such as Dropbox or Google Docs.
Unless someone consents otherwise—or unless doing so is required by law—JNV Editing & Consulting will use or disclose personal information only for the identified purposes for which it was collected. Personal information will be kept only as long as it is needed to serve those purposes.
Accuracy of Client information is maintained, and if the Client requests a change, in writing, this information will be corrected upon receipt of the written request.
To avoid loss of material through technical failure, I back up my work on an external hard drive, where it is saved indefinitely and kept securely in my home. This not only safeguards the work but can also be useful to clients who ask me to refer to previous work done. If asked, I can delete such files upon completion of a project. I apply good computer hygiene, scanning my devices daily with updated anti-virus and anti-malware programs. I use two-factor authentication, where possible, and a password manager recommended by digital-security experts.

When asked, advise clients about the personal information about them your organization holds, and explain where the information was obtained. Explain how that information is or has been used and to whom it, or if it has been disclosed. I will provide a digital screen shot of the information.
A Client has the right to challenge JNV’s compliance with the fair information principles. They should address their challenge to Jewel Voth, who is accountable for compliance with PIPEDA
I value and understand privacy and its importance. I regularly review my privacy settings, policies, and practices, and when appropriate I refine them, to ensure best practice in this area.
